When you need us to create a new customer or project in the system, this is the information we require
- State type (customer, vendor, legal entity) and brief business purpose.
- Legal details: full legal name, registration/incorporation number, tax IDs (EIN/VAT/GST), country, currency.
- Addresses and contacts: registered, billing, shipping; primary, finance/AP/AR contact names, emails, phones.
- Commercial terms: payment/credit terms, credit limit (if any), tax treatment, withholding, Incoterms (if applicable).
- Banking/remittance (for vendors/refunds): bank name, account/IBAN, SWIFT/BIC, remit email, recent bank proof/voided check.
- Master-data mapping: company code, sales/purchasing org, plant, region/tax jurisdiction, reconciliation/GL accounts, price list.
- Compliance and approvals: manager, finance, tax, and compliance approvals; KYC/AML screening confirmation if required.
- Attachments: send us a Copy of the customer's contract, request form, and all compliance documents; W-9/W-8, certificate of incorporation, relevant licenses, DPA/NDA if required. PDFs only.
- Validation: confirm no duplicate exists, list any legacy IDs, and provide a single business owner/contact for questions.
